Position Overview:

As a Corporate Records Organizer, you will play a pivotal role in assisting the president of a hospitality group in managing and organizing corporate records. This is an 80-hour project where you will work on various tasks to ensure the efficient and systematic organization of documents critical to the organization.




Deliverables

Key Responsibilities:

1. Document Inventory (8 hours)

  • Create an inventory of all existing corporate records.
  • Categorize documents based on their type and importance.

2. File Digitization (12 hours)

  • Scan physical documents and convert them into digital formats.
  • Ensure the scanned documents are of high quality and well-organized.

3. Electronic Document Management (10 hours)

  • Set up a digital document management system, such as a cloud-based platform, to store and organize digital records.
  • Categorize digital documents and establish a logical folder structure for easy retrieval.

4. Data Entry (6 hours)

  • Enter metadata and relevant information for each document into the digital system.
  • Maintain accuracy and consistency in data entry.

5. Document Classification (8 hours)

  • Classify documents into categories such as financial, legal, HR, and operations.
  • Apply appropriate naming conventions for documents.

6. Archive Management (8 hours)

  • Identify documents that need to be archived due to regulatory requirements or historical significance.
  • Safely store archived documents in physical or digital archives.

7. Reporting (10 hours)

  • Generate reports on document organization progress.
  • Present findings and recommendations to the president for ongoing improvements.


Mentorship

We will be having daily meetings and working remotely. The President will have daily tasks for you or on a regularity that matches your course commitments.
